Office Manager Vacancy

Elevate PR is recruiting an experienced office manager; this is an exciting opportunity for anyone with a keen interest in PR and Social Media.

The successful candidate will join an independent, creative and hardworking PR and social media agency based in Dublin.

Duties & responsibilities

Reception
• Point of contact for Elevate, meet and greet clients, answering / directing calls, scheduling meetings, post, couriers, taxis, etc.

Office Manager
• Stationery ordering, landlord queries, maintain condition of office space and organise any repairs, reviewing and renewing Health and Safety documents, ad hoc office support, booking travel for employees and clients, where required, manage magazine and paper subscriptions and deliveries.

IT
• Have an interest in and ability to learn new technologies, managing company drives on server – formatting / archiving and server management, remote access for employees, ad hoc computer issues with staff, liaising with external IT company.

Social Media for Elevate
• Be responsible for all Elevate’s social media channels; respond to messages / comments across all platforms. Aim to increase Facebook, Twitter, Instagram, Pinterest, LinkedIn and YouTube followers. Monitor all social media channels daily. Attend Elevate events to support our clients and provide content for social media channels. Keep up to date and be aware of competitors and their clients.

Accounts
• Monthly invoicing for Elevate, processing supplier invoices and payment, keeping track of all Elevate costs and third party costs, petty cash management and reconciliation, updating Sage with new clients / suppliers, processing credit card payments. Updating timesheets with new clients, employees as and when they come on board.

HR
• Intern liaison, point of contact for colleges, intern induction and reviews, respond to all applicants who email in a timely manner, sign off intern’s work for college, oversee intern payments / expenses.

Client
• Handle calls and queries, if team members aren’t in the office, monitor social media channels, update social media channels for clients, where appropriate. Research for clients, source props – costs / availability, etc. price photocall costs for models / personalities. Download / resize / caption / edit images. All ad hoc client admin.

Requirements

• Third level degree or equivalent
• 3-5 years’ office management experience
• Strong communication skills
• Excellent computer skills to include full knowledge of Microsoft Office and Sage Accounts
• Previous experience using Photoshop and Hootsuite would be advantageous
• Must have high level of accuracy, initiative and strong attention to detail
• Highly flexible and capable of working in a face paced environment
